About us

The Documents Management Section is the entry point for all requests for processing of parliamentary documents and mandated publications.

 

Our work

The Section coordinates the timely issuance of parliamentary documents and mandated publications. It interacts closely with author departments, secretariats of intergovernmental bodies, permanent missions and all document processing units to ensure that documents are submitted predictably and issued on time and simultaneously in the six official languages of the United Nations.

The Section has the following main functions that cover the entire documentation management and processing chain:

 

  • Advance planning for documents to be considered by the General Assembly, the Security Council, the Economic and Social Council and all their subsidiary bodies in New York by:
    • Reviewing resolutions prior to their adoption to assess programme budget implications
    • Managing demand through slotting and waiver management and providing workload forecasts to facilitate capacity planning in all processing units
    • Verifying that all pre-session parliamentary documents, that is, those required for consideration by deliberative bodies during their sessions, are drafted and submitted for processing in conformity with the legislative mandates
  • Document processing, including the scheduling, processing and timely issuance of parliamentary documents in the six official languages of the United Nations, using gDoc, which is an end-to-end electronic workflow management system

 

Proactive document management, which includes slotting, waiver management and dynamic scheduling, is crucial for the timely issuance of documents. The Section uses business intelligence tools to analyse data for trends and to forecast the non-slotted documents, while identifying and mitigating risks in the process.
