LLDC3 Exhibitions FAQs

 

Accredited entities participating in the Third United Nations Conference on the Landlocked Developing Countries (LLDC3), from 18 to 21 June 2024, will have the possibility of organizing exhibitions on the margins of the conference. This includes Member States, UN system entities, private sector entities, civil society organizations, academic institutions, and other institutions attending the Conference.

Exhibitions offer an opportunity for interested parties to raise awareness about their work in LLDCs through the display and distribution of informational material as well as direct contact with a diverse array of stakeholders. Exhibitions will continue for the entire duration of the conference in the designated venue.

How and where to submit the application for exhibitions?

Interested organizations are invited to submit their applications to organize an exhibition following these guidelines and using the application form at the following link:

Only one submission per entity will be considered.

The exhibition applications should provide details of the informational material that will be displayed, including its relevance to LLDC3. It should also indicate the main organizer and their contact information, including the name of the on-site contact person and their cellphone.

The selection process will give priority to exhibitions that present and disseminate informational material on specific initiatives and resources that are relevant to or can contribute to the new 10-year Programme of Action for the LLDCs.

Where are the exhibits displayed?

All exhibitions will take place within the conference premises of the Kigali Convention Center. Therefore, all on-site organizers must be registered to participate in LLDC3 by an accredited entity to gain physical access.

 

How long will exhibitions be on display?

Exhibitions are on display for the duration of the conference, from 18 - 22 June 2024.

 

Do exhibitors need to be present at the booth for the entire Conference?

Yes, all exhibitions will necessitate the physical presence of an organizer. We kindly ask exhibitors to ensure that one staff is present at their booth at all times throughout the entire Conference. The daily hours will follow the programme of the Conference.

 

How does the booth look like and who pays for it?

There is no rental fee to use the exhibition space. Every exhibition booth is 3m X 3m. WiFi is available throughout the venue (tbc). Exhibitors are responsible for all other costs, including additional installations, promotion, printing and an opening/event reception. Please request the shopping list for prices of additional items.

 

How will the booths be installed?

Upon approval of applications, all selected exhibitors will be required to liaise directly with the Professional Conference Organiser (PCO) on logistics related to their allocated space. They will be required to confirm if facilities provided are sufficient or if they need additional installations.  In case of the latter, the PCO will help connect exhibitors with local vendors. Exhibitors who have existing exhibitions they wish to display at LLDC3 will still be required to liaise with the PCO on installation.

Exhibitions are organized under the full responsibility of the organizing entity. However, as stated above, OHRLLS will ensure the allocation of designated exhibition space for successful applicants.

We suggest exhibitors bring a laptop and a USB for their materials.

How do exhibitor staff register and gain access to the Conference?

All exhibitions will take place within the conference premises. Therefore, all on-site organizers must be registered to participate in LLDC3 by an accredited entity to gain physical access.

Different procedures for accreditation apply to Member States, UN Secretariat, specialized agencies, private sector entities, civil society organizations, academic institutions, and other institutions not part of the government. Where can exhibitors find LLDC3 communication materials to promote their exhibition?

Organizers are responsible for all publicity efforts related to their exhibitions. They are invited to make use of the official LLDC3 X (Twitter) handle, which is #LLDC3. Organizers may bring their own banners but must remove all such material promptly after the conclusion of the conference.

Exhibition organizers will be responsible for setting up, managing, and publicizing the exhibition. OHRLLS will not produce flyers, distribute notices, or undertake other publicity efforts for exhibitions. However, the list of exhibitors will be posted on the official LLDC3 website and app.
