LLDC3 Exhibitions
LLDC3 Exhibitions FAQs
Accredited entities participating in the Third United Nations Conference on the Landlocked Developing Countries (LLDC3), from 5 to 8 August 2025 with pre-conference events on 4 August will have the possibility of organizing exhibitions on the margins of the conference. This includes Member States, UN system entities, private sector entities, civil society organizations, academic institutions, and other institutions attending the Conference.
Exhibitions offer an opportunity for interested parties to raise awareness about their work in LLDCs through the display and distribution of informational material as well as direct contact with a diverse array of stakeholders. Exhibitions will continue for the entire duration of the conference in the designated venue.
Below is additional information for Exhibitors. Exhibitors may refer to this page for updates up until the Conference.
How and where to submit the application for exhibitions?
Subject to the availability of exhibition booths, an additional round of applications may be opened inviting interested organizations to submit their applications to organize an exhibition following these guidelines.
If an additional round of applications is opened, further information, including an information note, will be made available on this web page in the lead up to the Conference.
Only one exhibition per entity will be considered.
Commercial activities are strictly forbidden in the exhibition area.
Where are the exhibits displayed?
All exhibitions will take place within the blue zone (UN zone) of the conference premises of the Awaza Conference Center. Therefore, all on-site organizers must be registered to participate in LLDC3 by an accredited entity to gain physical access.
How long will exhibitions be on display?
Exhibitions are on display for the duration of the conference, from 5 - 8 August 2025.
Do Exhibitors need to be present at the booth for the entire Conference?
Yes, all exhibitions will necessitate the physical presence of an organizer. We kindly ask exhibitors to ensure that at least one staff is present at their booth at all times throughout the entire Conference. The daily hours will follow the programme of the Conference.
How does the booth look like and who pays for it?
There is no rental fee to use the exhibition space. There are different sizes of exhibition booths available. The sizes vary from booths from 4m x 3 to 12m. OHRLLS will inform you upon confirmation from the host government which type of booth you will receive.
WiFi will be available for all exhibitions.
Digital screens for digital exhibitions will be available for some exhibitors.
We suggest exhibitors bring their own laptop and a USB to use in the exhibition booths.
Exhibitors are responsible for all additional costs, including additional installations, promotion, printing and an opening event/reception. A shopping list with indicative pricing for additional items will be provided to Exhibitors.
How will the booths be installed?
Further guidance will be provided to exhibitors on liaising with the Professional Conference Organizer (PCO) on logistics related to their allocated space in the lead up to the conference. This could include confirming standard provisions or requesting additional setup with support from local vendors. Exhibitors with existing materials or displays they wish to bring to LLDC3 are welcome to do so but must still coordinate with the PCO, in line with this guidance, for the installation and setup.
Exhibitions are organized under the full responsibility of the organizing entity. However, as stated above, OHRLLS will ensure the allocation of designated exhibition space for successful applicants.
Where can practical information for Conference participants be found?
An information note for Conference participants will be made available in the lead up to the Conference. The note will provide more information on entry requirements, hotels and other logistical considerations for the Conference.
How do exhibitor staff register and gain access to the Conference?
All exhibitions will take place within the conference premises. Therefore, all on-site organizers must be registered to participate in LLDC3 by an accredited entity to gain physical access.
Different procedures for accreditation apply to Member States, UN Secretariat, specialized agencies, private sector entities, civil society organizations, academic institutions, and other institutions not part of the government. Where can Exhibitors find LLDC3 communication materials to promote their Exhibition?
Organizers are responsible for all publicity efforts related to their exhibitions. They are invited to make use of the official LLDC3 X (Twitter) handle, which is #LLDC3. Organizers may bring their own banners but must remove all such material promptly after the conclusion of the conference.
Exhibition organizers will be responsible for setting up, managing, and publicizing the exhibition. OHRLLS will not produce flyers, distribute notices, or undertake other publicity efforts for exhibitions. However, the list of exhibitors will be posted on the official LLDC3 website.
LLDC3 communication materials and guidelines will be made available on the LLDC3 website in the lead up to the Conference.
