A. Collected papers published as monographic works (bibliographic level m)

The guidelines for Monographs apply to collections of papers that are published in a single volume, a multi-volume work or a made-up collection.

Collections of papers prepared for a specific conference, meeting, workshop or seminar require Content Code A16 in tag 089, and the conference name heading should be assigned in tag 711. The conference name is not assigned as a subject (tag 611) unless it is actually a subject of the work.
Note: When papers prepared for conferences are issued as individual documents, they are assigned Content Code A21, not A16.

If the fact that the papers were prepared for a specific conference does not appear in the title information but elsewhere in the publication (title page, introductory matter, cover, etc.) a General Note should be formulated (tag 500), e.g., Contains papers presented at the pre-UNCTAD XI Forum on "Multilateralism and Regionalism : the New Interface" held in Rio de Janeiro, Brazil, on 8 June 2004.

If a collection of papers consists of chapters or articles by individual authors, Content Code A01 should be assigned in addition to code A16 (tag 089).

Individual authors of the papers are normally not indexed and their names are not added in tag 700. If an editor or editors for the work are identified in the title page information or introductory matter, the name(s) should be added in tag 700.

When a collection of papers includes a table of contents listing the titles and authors, it is often helpful to add a Contents Note (tag 505) or an electronic link to the table of contents (tag 856, second indicator 2) when it is available online.

The indexer should consider assigning secondary subject terms (tag 650 first level 2) to bring out the content of individual papers, particularly in subject areas of strong interest in the context of UN programmes and activities. In some cases when the collection is particularly important, the decision could be made to handle the work analytically and index individual papers at bibliographic level a.

B. Collected conference documents issued in a portfolio instead of a bound volume (bibliographic level m)

When papers for a conference are issued as separate pieces or items in a portfolio (sometimes referred to as a «media kit» or «press kit» instead of in a bound volume, there are some differences in bibliographic description as shown in the example below, but otherwise the guidelines for collected conference papers published as monographic works apply.

The indexer may choose to record a Contents Note (tag 505) if the individual items bear distinctive titles, otherwise the contents would be described in a General Note (tag 500).

C. Collected conference papers in a made up collection (bibliographic level m)

When papers from conferences are issued as separate unsymbolled documents or publications, and not as a volume, it is optional to choose to treat the entire set of papers as a single item, by making up a collection of the conference papers.
In this case the following procedures for bibliographic description are followed:

- Bibliographic level (tag 000 position 7): Record letter m for made up collections.
- Title (tag 245): Record a title that is common to all the items in the made up set. In cases where items lack a collective title, the title will normally be made up of the name of the conference followed by a collective word or phrase between square brackets.
- Imprint (tag 260): Take the imprint from the first paper, with inclusive dates if needed.
- Description (tag 300): Record the number of items making up the collection, e.g., 1 case (20 items) : ill., maps
- Note (tag 500): Reflect the extent of the made up collection, e.g., Consists of programme, abstracts of papers, keynote speech and papers from the Conference.
- Contents Note (tag 505) could be added if papers bear distinctive titles.
- Conference name (tag 711) is required.
- Conference subject (tag 611) is required if information about the conference is included in the set.
- Topical subjects (tag 650): Record primary level subject(s) (first indicator 1) to cover the main subject(s) of the conference as a whole. Record secondary level subjects (first indicator 2) to reflect the major subjects of each paper. The papers are not analyzed in detail.
- Content Code (tag 089): Record the code A16 as well as any other applicable codes.

D. Individual conference papers

When conference papers are issued as individual documents, assign Content Code A21 in tag 089.
Assign tag 700 or 710 for the individual personal or corporate author of the paper, and assign the conference name heading in tag 711. Do not assign the conference name as a subject (tag 611) unless it is actually a subject of the paper.

Note: When papers prepared for conferences are compiled in volumes or in made-up collections), assign Content Code A16, not A21.

If the paper was prepared for a conference that is represented by the document series symbol, it is not necessary to add a General Note giving the name of the conference represented by the series symbol. However, if the document series symbol does not represent the conference, and the conference name does not appear in the title information but appears elsewhere in the publication (title page, introductory matter, cover, etc.) it is good practice to add a General Note (tag 500) identifying the conference.
