The CIvil Society Unit evaluates the activities of organizations associated with our Department every year to determine if they have fulfilled their association responsibilities and to update our records. The Annual Review is a self-reporting exercise which enables organizations formally associated with DGC to report on their most recent activities and public information programmes and to (re)designate up to six representatives for grounds passes to UNHQ New York. 

2019 Annual Review

We are pleased to inform you of the process that the Civil Society Unit will use this year for the renewal of grounds passes for civil society representatives of organizations formally associated with the Department of Global Communications. Please note the following:

  1. Organizations that submitted the Annual Review report for 2018 and got a positive evaluation (approved)
    Those organizations whose 2018 Annual Review was approved do not need to submit a new report. The issuance/renewal of grounds passes for the representatives of those organizations will follow the below process:
  1. Organizations that submitted the Annual Review report for 2018 and their report is marked as pending
    Those organizations whose 2018 Annual Review was marked as pending will be able to edit their report and submit it for evaluation beginning 13 January 2020.
    Please visit https://outreach.un.org/ngorelations/user and use your login and password to proceed to your NGO Profile. Please note that the credentials remain the same as last year unless any changes were made on your side. Once logged in, select ‘2018’ under Annual Review and edit the questionnaire. Please note we are seeking examples of the latest campaigns that your organization has done. 
    If/when approved, the designated representatives may proceed to the Resource Centre to retrieve their grounds passes.
     
  2. Organizations that did not submit the Annual Review report for 2018
    Those organization that did not submit their 2018 Annual Review are invited to submit their Annual Review for the year 2019 and, when/if approved their representatives may proceed to the Resource Centre to retrieve their grounds passes.

Please note that the credentials remain the same as last year unless any changes were made on your side. Once logged in, select ‘2018’ under Annual Review and complete the questionnaire.     If the head of the organization does not have the credentials to access the system, they may reach out to our office via e-mail at undgccso@un.org and request those credentials. Please note that our office will only share the credentials with the head of the organization or any other representative duly authorized.
     
  3. Organizations associated in 2018 & 2019
    Those organizations that were formally associated with the Department in 2018 & 2019 do not need to submit an Annual Review report. The process to obtain passes will be as follows:
  • The head of the organization may designate up to 5 individuals (besides her/himself) using the template provided.
  • Each representative will need to bring a print copy of the letter to the Resource Centre at the time of retrieving their grounds pass.

What happens after we submit our Annual Review?

We review and evaluate it and send you the results by e-mail if your Annual Review materials are complete. If you meet the criteria, we will send instructions on how the representatives of the organization can retrieve their UN grounds passes.

What happens after we submit our Annual Review?

We review and evaluate it and send you the results by e-mail by within two to three weeks from the date that you submitted it to us. If you meet the criteria, we will:

  • send instructions on how your representatives can retrieve their UN grounds passes
  • add your information to our DPI-associated NGO database, which can be accessed from our DPI/NGO Resource Center.
  • create the yearly mailing list with your contact information. We keep this encrypted and do not share it with third parties.

What if my organization does not meet the required criteria?

If your submission doesn’t meet the criteria because the evaluation team determines that your organization (1) did not provide evidence of activities, projects, events or programmes planned, organized or coordinated by your organization as part of its work to support the work of the United Nations and your association commitment with DGC; (2) actively participate in the Thematic Briefings or Communications Workshops; (3) and/or develop enough projects and activities with UN agencies or programmes, as well as DGC; your submission will be negatively evaluated and no grounds passes will be issued for that year. Your organization, however, will remain in good standing with the Department.

The Department of Global Communications will determine in its sole discretion whether or not information submitted for the Annual Review meets the requirements as set out in the Annual Review online instructions.
