Welcome to this first in a regular series dealing with the use of information technology tools in the IEC. These tips will be issued at two-monthly intervals and will each deal with a particular topic. We suggest you might want to collect these to serve as future reference.

You will have all realized by now that the IEC is making a major commitment to the use of modern information technology tools for practically all aspects of standards development. We believe that these new tools can make a significant contribution to accelerating the work and, just as importantly, help to keep costs down.

Whilst many people involved in standards development seem well able to assimilate and make the best use of these tools, many of you seem to have difficulties and the objective of this series is to provide you with as much support as we can.

Whilst we can ourselves observe where many people are having difficulties and can decide on which issues to cover, we also want this series to be yours. If you feel you have a problem that could be of interest to others in the IEC community, please don't hesitate to let us know.

Microsoft Word Templates and Styles

Introduction

We have decided to start with the question of templates and styles. These are of critical importance to IEC work, but are unfortunately sorely neglected in most training courses on Word. Also, many of you have difficulty in using them correctly. The information given is valid for users of both Word 6 and Word 7.

Styles are a collection of formatting parameters within a document. For example, all the main headings in this newssheet are described by the parameters given in the figure below. The advantage of using styles is that all the headings look identical. Furthermore, if we decide to change one of the parameters, for example to choose a larger font, we would change it in the style only, saving us the chore of change at each heading individually in the text.

A complete collection of styles can be used to define the complete formatting of a document, and this collection of styles is stored in a template. However, a template can be much more than a collection of styles. It can contain standard text, form fields, autotext, in fact practically anything a normal document can contain.

The IEC currently makes use of two types of template:

Installation

You may have obtained the IEC templates either on diskette, or by downloading them from the IEC web site (ftp://ftp.iec.ch/pub/.contents.html). If you have downloaded them from the web, please read the file 1st.txt which contains important information about renaming the files.

You must install the files correctly in order to be able to use them. You will not be able to use the features of template files if you simply try to open the files! Template files must be installed in your templates directory or folder.

In most cases, the template files will be in:

In Word95 (Word 7), it is possible to create sub-folders in the template folder.

If you cannot identify where your templates are stored, start Word, Click on Tools, Options and then the File Locations tab.

You may install the IEC templates in either the User template or Workgroup template directory or folder. If you working in a network installation, you will probably have to ask your system administrator to install the template files for you.

To install the template files, simply copy them to the appropriate templates directory or folder.

Use of IEC Forms and Standards Template

To use an IEC form, click on File, New.

In Word95 (Word 7) you will end up with a dialogue box similar to the one below. You can also generate a new document by double-clicking on the name of the template in Explorer.

In Word 6, the dialogue box is as below. Note that in Word 6, all the templates appear as though they are in a single directory.

Under no circumstances should you open the template itself.

You can then fill in fields in the form as needed and save and print the document in the usual way. If you have carried out these instructions correctly, the first time you save the document, you will be prompted for a file name. IEC Standards Template (IECSTD.DOT)

The IECSTD template is designed for the preparation of draft standards. You start a new document as described above. The template contains many features designed to help you in the preparation of documents, including many short-cut keys to help you to format the different elements.

You should therefore imperatively read the Installation and user guide which gives full instructions on how to use the template. Both the template (ftp://ftp.iec.ch/pub/forms/iecstd.dot) and the guide (ftp://ftp.iec.ch/pub/forms/iecstd.pdf) are available on the IEC's web site or on diskette on request from your technical officer at IEC Central Office.
